Introducing Recall CampaignsTimeTap Team
TimeTap is kicking off the new year by adding a great new feature called Recall Campaigns. With this feature, you can now automatically send reminder notifications to clients.
Our goal is to streamline customer communications for your organization. Manually generating emails is not a productive way to run a business – especially when you are sending multiple emails to multiple customers. These emails are usually sent at set periods of time. Tracking something like this would fill your calendar with tasks. Our Recall Campaign feature does the recalling for you. That way, you don’t have to worry about remembering when to follow up on customer communications.
Why Recall Campaigns?
Recall campaigns help to nurture the client relationship. You can leverage them as annual appointment reminders – helping customers return to your business. Additionally, recall campaigns can be used to send follow up information about your business after you’ve met with a prospect or you could send a post appointment email with a survey to measure customer satisfaction. No matter how you use the feature, it automates the process and saves you time.
Create Recall Campaign
Recall Campaigns contain a messaging feature with customizable templates. You can set up your desired messaging and select the time when these emails need to be generated. You can view our help guide for more information about setting up this feature.
On the Recall Campaign page click the Add New button you will then be taken to the campaign screen where you will pick which service or class you want to pair with a follow up appointment as well as the Drip Messages you wish to send, reminding the client to book their next appointment at the Goal Date. For example, course providers can set recall campaigns for three months after the initial course was completed if they offer an advanced level or continuation of their course.
Recall Campaigns also enable you to track your campaign and see which clients are nearing their goal date for their follow up appointment and which clients have already booked. In the example below, I made a goal for the clients to have their follow up appointment 6 months after their initial appointments. The Campaign Recipients table will give you the details of the client, date of initial appointment, the recall goal date, their status and you are able to view the initial appointment information. Once the client receives their recall message(s) and books their follow up appointment their status will go from open to closed.
The Recall Campaign is a great time saving feature that will allow businesses to set up multiple reminders for their clients to book follow up or additional appointments in the future. Automating notifications for follow up appointments can be a huge help if you’re looking for ways to increase bookings on your website. By utilizing this feature on your account, you can book one appointment for a client and ensure that future booking prompts are taken care of.
