Last week we looked at how you could sync your client appointments with Microsoft Office 365. No more going back and forth between calendars to remember what time your office is having a meeting and what time your next client is coming in. With Office 365 appointment scheduling, we’re going to look at 5 ways you can benefit.
Let’s jump right in!
1. View all of your appointments in 1 location
This tips back to just what we've mentioned previously. If you manage your business' calendar or have a staff member who manages the calendar, make it easy on you or your staff member by syncing your TimeTap appointments with a Microsoft Office 365 calendar. We provide a basic setup or template or what will appear when you've synced your appointments, and here's what that looks like:
The basic information that will appear once you've synced your appointments includes:
- Event title (the reason for the booked appointment)
Our scheduling software automatically fills in this information, but if you would like to capture different information, that can be done by choosing from our Merge Field tags.
2. Can choose which Office 365 calendar you want to sync appointments to
If your business has more than one Office 365 calendar (for instance, each staff member has his/her own calendar(s)) then you can choose which of those calendars you would like to sync your appointments to.
The way that you can do this is once you've set up syncing for your business' Office 365 account, you can edit the calendar for your sync feed.
1) Go to the staff member's profile for the calendar sync you would like to edit
2) Click the "Upload/Download from Another Calendar" button to add the appropriate calendar
3) Choose the calendar from the "Select Calendar From Account" dropdown and click the "Save New Sync Details" button at the bottom
3. Add a charm to indicate appointment type
If you're a person who can remember information better with visual cues, this feature is really neat with Office 365 Online. To help categorize an appointment visually on your calendar, you can choose from a selection of charms to indicate the type of appointment that has been scheduled.
As with the test appointment that we looked at last week, I chose the house charm to indicate that Laura would be meeting with a client for financial counseling.
4. Easily view calendars that you want to share
If you want to share your calendar with a colleague or superior so that he/she can see your appointments, this can easily be done with your Microsoft Office calendar. To do this, once you're logged in to your account, click on the "Share" button and type in the email address of the individual with whom you'd like to share your calendar.
As we mentioned earlier, you won't have to be concerned with going backwards and forwards between calendars if you can share your Office 365 calendar and its appointments with a coworker or superior.
5. Access the Office 365 apps you need without switching between tabs
Convenience can help sometimes, right? If you can view appointments within one platform and easily access an application that you need for business such as Microsoft Word, Excel, or even PowerPoint, then those could be at your fingertips as well without having to switch between tabs or screens making your work more seamless.
